1. Purpose of Information Collection:

The Project Management Board for Railways (hereinafter referred to as the “Board”) collects dossiers and legal information of Contractors through the website for the following purposes:

  • Verifying the legal eligibility of Contractors when participating in bidding activities and logging into the system.
  • Managing capacity and experience profiles of partner entities to serve the contractor selection process.
  • Contacting and exchanging information related to bidding packages and project implementation procedures.

2. Scope of Information Collected:

The information includes, but is not limited to: Enterprise name, tax code, address, information of the legal representative, capacity profile, documents proving financial capacity, and other relevant legal documents.

3. Information Confidentiality Commitment and Waiver of Claims:

  • Use for proper purposes: Information is used only within the scope of serving bidding activities and project management in accordance with the provisions of the Bidding Law and related legal documents.
  • Confidentiality: Technical and management measures are applied to protect information from unauthorized access, disclosure, or alteration. Only personnel assigned to the relevant tasks (Expert Team, Bidding Department) are authorized to access these dossiers.
  • Non-disclosure of information: The Board will not provide, sell, or disclose Contractor information to any third party, except with the Contractor’s consent or upon written request from competent state authorities during inspection, examination, or investigation activities.
  • Contractor’s Commitment on Claims: By registering and uploading documents, the Contractor confirms that they have read, understood, and agreed to the Board’s confidentiality regulations. The Contractor commits not to lodge any complaints, lawsuits, or claims for damages against the Project Management Board for Railways in any form regarding any issues arising, including cases of force majeure such as the system being attacked by hackers.

4. Rights of the Contractor:

The Contractor has the right to request the update, correction, or deletion of personal/enterprise information that has been provided if any errors are found or when there is no longer a need to participate in bidding with the Board. Such requests must be submitted in an official written document to the Project Management Board for Railways for processing in accordance with regulations.

5. Information Retention Period:

Contractor information is retained during the period of participation in bidding packages and in accordance with the regulations on the retention period of bidding and state project management records and documents.
